Registrations can be cancelled up until June 2nd, 2025, which is our deadline for full payment. See below for refund stipulations:

You may make a cancellation by phoning our camp office at 905-648-2712 ext 3 or by emailing camp@canterburyhills.ca. If you are unable to reach us by phone, please send a detailed email with your name, camper’s name & session so that we have an accurate timestamp of your request for cancellation.
Prior to June 2, 2025, we will issue your refund (less the non-refundable deposit) and you will see this reflected on your credit card account in 2-3 business days. We use an external payment processing system. Please allow 2-3 business days before inquiring about the status of your refund.
In the event of a cancellation request after June 2nd, refunds will be issued (less the non-refundable deposit) only if your camper’s spot is able to be filled from our waitlist. Our office team will de-register your camper from the session, then begin the process of contacting families from our waitlist to fill the spot. We cannot guarantee that the spot will be filled. This process can take time, as we give each family 48 hours to respond before moving down the line. We will be back in contact with you if we fill your spot and then your refund (less the deposit) will be processed and will be reflected in your account in 2-3 business days.
Cancellations made 7 days or less before the beginning of your registered camp session will not be refunded.
Households with outstanding balances after our payment deadline (June 2, 2025) will have their registrations cancelled and the spots will be filled by those on our waitlist. No refund will be issued for the non-refundable deposit in such cases.
Notice will be sent to households with outstanding balances by email well in advance of the payment deadline, and reminders will continue to be sent up and until June 2nd. After June 2nd, our office will also attempt to contact you about your outstanding balances by phone, and we keep a record of attempts to contact you. If your session is at risk of cancellation (as in, no payments have been made towards your balance and we have not been able to contact you), you will receive one final warning by phone and email before we cancel your session.
Should you require an extension to the payment deadline, or wish to speak to our office about extenuating financial circumstances (ie. your credit card was compromised & you are waiting for a new card in the mail etc…), we would be happy to have a conversation with you by phone or by email and will not cancel your registration(s) until we have come to a solution about settling your season balance together. Failure to communicate or respond to our notices will result in cancelled registrations.
Refunds are not granted if the parent and/or guardian withdraws their camper from a session early, or if the camper is sent home for misconduct or treatment of head lice. This includes a camper being withdrawn or dismissed from a session due to homesickness.
As it states in our Behavioural Conduct section of our Policies and Procedures:
Canterbury Hills Camp reserves the right to dismiss any camper who exhibits unacceptable behaviour, including but not limited to actions that harm others—whether campers or staff—physically, emotionally, mentally, or spiritually. Such behaviour will lead to immediate dismissal from the program. The Camp Director also has the authority to dismiss a participant if, in their judgment, the individual poses a risk to the safety and well-being of others, or fails to comply with camp rules. Before arriving at camp, caregivers should talk to their camper about the importance of appropriate conduct, emphasizing kindness, respect, and the well-being of everyone.
Refunds for medical reasons which would lead to your camper being unable to participate in camp activities (illness, injury etc) will be issued (less the non-refundable deposit) only with a written medical note from a doctor at the discretion of our Camp Director.

Canterbury Hills Camp reserves the right to refuse a registration based on previous behaviour at camp, misconduct, or lack of resources to meet the camper’s needs. If this occurs, a full refund will be issued.
Canterbury Hills Camp reserves the right to cancel any camp session if a minimum number of campers have not registered one week prior to the start of the session. If this occurs, full refunds will be issued.
